Golden Drum 2009 - Technical instructions for submitting entries

Groups:

GROUP A: FILM

FILMS up to 180 seconds in length may enter the competition. It is recommended that the TV ads are dubbed or subtitled into English. All entries in this group will be screened during the Festival in the Europa Hall of the Grand Hotel Bernardin and judged in front of the audience.
TV entries can be submitted as digital versions through on-line registration system.

On-line submission:
MPEG-2 encoded at 8 megabits per second, dimension 720 x 576 pixels.
Only files with .mpeg or .mpg extensions and with the right properties will be accepted.

Courier:
PC compatible DVD-ROM RECORDED AS DATA, files MPEG-2 encoded at 8 megabits per second, dimension 720 x 576 pixels. Only files with .mpeg or .mpg extensions and with the right properties will be accepted.
OR
BETACAM SP
PAL, BETACAM SX PAL or Digital BETACAM PAL with audio track STEREO, DOLBY on TC/00 MIN – TC/01 MIN = CB TEST 100 %,

Each individual entry on DVD or Betacam must be accompanied by a copy of the entry form. Each individual entry must be on a separate DVD or Betacam tape. Entries registered in the same category may be submitted on one DVD or tape with approximately five seconds of black between each entry. Entries registered as series will be shown in the order in which they appear on the tape. Every DVD or Betacam tape must be accompanied by a list of entry titles, duration and exact time codes (tape only) (TC IN & TC OUT).

GROUP B: PRESS

All entries in this group will be exhibited on a special print exhibition during the Festival. If the print ad is not in English language you must submit a second file for each individual entry including the translation of the ad in English. It has to be text file in .doc format, .rtf format or .txt format. Please make sure to use the Unicode script. Please do not include marks, bars, infos or optimized and progressive formats while exporting the image.
Press entries can be submitted as digital versions through on-line registration system.

On-line submission:
Digital image of entry in JPEG format, 300 dpi, CMYK; the longest side of the ad must be at least 420 mm long on 300 dpi resolution. Only files with .jpeg, .jpg, .doc, .rtf or .xt extensions and with the right properties will be accepted.

Courier:
Digital image of entry in JPEG format on PC compatible CD-ROM, 300 dpi, CMYK; the longest side of the ad must be at least 420 mm long on 300 dpi resolution. All files must be named as the entry title. Each individual entry on a CD-R must be accompanied by a copy of the entry form. Do not include files for entries in different groups on a single CD-R!
Ads competing as series, ads consisting of teaser and reveal and ads with possible double meaning alignment configurations must be accompanied by one A4 size unmounted proof for print control. Each proof must be accompanied with a copy of the entry form glued on the back of the proof.

GROUP C: OUTDOOR

All entries in this group will be exhibited on a special print exhibition during the Festival. If an ad is not in English language you must submit a second file for each individual entry including the translation of the ad in English. It has to be text file in .DOC format, .RTF format or .TXT format. Please make sure to use the Unicode script. Please do not include marks, bars, infos or optimized and progressive formats while exporting the image.
Outdoor entries can be submitted as digital versions through on-line registration system. 

On-line submission:

GROUP D: RADIO

Radio ads up to 120 seconds in length may enter the competition. If the radio ad is not in English, it should be dubbed or subtitled into English.
Radio entries can be submitted as digital versions through on-line registration system.

On-line submission:
1. Radio ad as audio file in MP3 format (bit rate: at least 128 kbps; 2 channels, stereo, recommended 320 kbps; 2 channels, stereo).
2. Text file in .DOC format, .RTF format or .TXT format, including the ad content (full dialogues) in the original language and in English language. Please make sure to use the Unicode script.
Only files with .mp3, .doc, .rtf or .TXT extensions and with the right properties will be accepted.

Courier:

1. Radio ad as audio file in MP3 format (bit rate: at least 128 kbps; 2 channels, stereo, recommended 320 kbps; 2 channels, stereo) on a PC compatible CD-ROM.

GROUP E: DESIGN & ART DIRECTION

Annual reports, brochures, catalogues, calendars, direct marketing materials, packaging design and other 3D materials may enter the competition. Each individual entry on a CD-R must be accompanied by a copy of the entry form. Do not include files for entries in different groups on a single CD-R! The actual sample must be well protected for transport and if necessary please empty the package contents! Please send all material at the same time! Each sample must be accompanied by a copy of the entry form. All entries in this group will be exhibited on a special exhibition during the Festival.

Courier only:
1. Actual sample of the entry. In category 28 (Ambient design – ambient media - outdoor installations) of Group E, photos and scale models not bigger than 50 x 50 x 50 cm are accepted.
2. Maximum quality JPEG file (RGB) on a PC compatible CD-ROM – A4 format (210 mm x 297 mm), 300 dpi.
If actual sample of the entry is not suitable for a presentation at the festival location exhibition, please send print-ready photography of the entry: Digital image of entry in JPEG format on PC compatible CD-ROM, 300 dpi, CMYK; the longest side of the ad must be at least 420 mm long on 300 dpi resolution.
Please consult festival office about extra sizes or requirements for the exhibition.


GROUP F: INTERACTIVE

On-line only:
Provide one URL address for each interactive entry. URL must lead straight to the entry in one click. If the web site, on-line ad, campaign, viral or other interactive content is not in English or has no English version send text file in .DOC format, .RTF format or .TXT format, including the translation of sample pages and/or other key elements to the following e-mail address: interactive@goldendrum.com. The subject of email must contain the exact title of the entry. Only files with .doc, .rtf or .TXT extensions will be accepted. Please make sure to use the Unicode script.
URL address must be active from the date of entry until October 10, 2009.
After your entry has been processed screen shots of the provided URL were made. No changes at the entry URL are allowed from Monday, September 14, 2009 until Saturday, October 10, 2009.
No agency branding is allowed when presenting your entry on-line.
Banners: Please attach a screen shot of the website where the banner was originally displayed.
Online campaigns: Each of the different on-line advertising instruments included in the campaign should have a separate sublink originated in a page leading from the main link of the entry.
Entries in category 37 (Mobile FILMS) must be available online for judging and screening purposes at all times.
Interactive ads designed to be passed along by consumers to other consumers must be presented as they ware displayed originally. All applications and installations (viral ads etc.) should be zipped and sent to interactive@goldendrum.com. Subject of the email must contain the entry title.
E-mail: e-mail ads delivered to target via e-mail must be emailed to following e-mail address: interactive@goldendrum.com in the exact same manner as they were sent originally. “Subject” and “From” fields must be the same as originally.

If selected as finalists you will have to send a video presentation (up to 1 minute long) representing the basic creative idea of the entry through a special FTP upload account. Golden Drum Festival Office will inform you on how to submit the video.

GROUP G: MEDIA

A single entry must relate to an advertisement or an advertising campaign. Media solutions that relate to different advertisements or campaigns (even if promoting the same product or brand) will be treated as multiple entries.
All entrants must agree that if selected as finalists they will give a personal, 10 minutes presentation at the Festival and send a video presentation (up to 1 minute long) representing the basic creative idea of the entry through a special FTP upload account. Golden Drum Festival Office will inform you on how to submit the video.

Media entries can be submitted as audio-visual presentation (up to 5 minutes in length) OR as Microsoft Power Point presentation. Send us only one presentation. Please see instructions below.

A) Audio-visual presentation of media entries (short film)
This video presentation of your entry should contain all key elements to best explain the campaign and a simple, clear commentary in English summarizing your entry. If the campaign includes media solutions for TV, press radio etc., they should be included in the presentation.
All presentations will be available for viewing at the festival location. Short listed entries will be shown in a special projection at the festival location.
Please indicate when you send your submission if there are reasons, such as music licensing, that mean your presentation cannot be shown at or after the Festival.

On-line submission:

1. MPEG-2 encoded at 8 megabits per second, dimension 720 x 576 pixels. Only files with .mpeg or .mpg extensions and with the right properties will be accepted.
Maximum length of video or presentation is 5 minutes.
2. Presentation Image in JPEG format, 300 dpi, CMYK; the longest side of the ad must be at least 420 mm long on 300 dpi resolution. File must be named as the entry title. This image is a summary of your entry and must be on one page. It should present key presentation elements in English language and exhibit some key visuals. This presentation image will not be presented to the jury. It will only be used in an exhibition at the Festival location if the entry is short listed.

Courier:

B) Power Point presentation of media entries
The key presentation elements are a summary of creative media solution and necessary background information. If the campaign includes media solutions for TV, press, radio etc., they should be submitted in the same manner as entries in groups A, B, C and D respectively. TV ads must be sent on BETACAM PAL tape or PC compatible DVD. All presentations will be available for viewing at the festival location. Short listed entries will be shown in a special projection at the festival location.
All materials contained in the presentation must be in English or accompanied by translation of the key strategic elements and the copy. Include the text file in .DOC format, .RTF format or .TXT format on a PC compatible CD-ROM together with the presentation. Please make sure to use the Unicode script. Text file must be named as the entry title.

Courier only:
Two separate PC compatible CD-ROMs with:
1. PowerPoint presentation (Microsoft Office 2000 /2003/2007 PowerPoint for PC).
Presentations may include:
  • text in Arial font
  • TV ads (MPEG-1 format; 320 x 240 pixels or higher)
  • print ads, posters, promotional publications and package design (JPEG format, RGB)
  • radio ads (MP3 format; bit rate: at least 128 kbps, stereo)
  • web sites (5 screenshots at the most; JPEG format, RGB)
2. Presentation Image in JPEG format, 300 dpi, CMYK; the longest side of the ad must be at least 420 mm long on 300 dpi resolution. File must be named as the entry title. Each individual campaign must be on two separate PC compatible CD-ROMs. Please check the links of MPEG-1 and MP3 files before you send the CDs. Do not include TV ads with different encoding than MPEG-1.
Please send all material at the same time! Do not include files for entries in different groups on a single CD-R!
PowerPoint Presentation must be ready for stand-alone projection, on the basis of which, judges will select finalists for the Group G – Media.

On-line FTP upload if selected as finalists:
Up to 1 minute video in MPEG-2 encoded at 8 megabits per second, dimension 720 x 576 pixels.



GROUP H: PR

All entries in group H (PR) are limited to 6.000 characters and should be formatted in provided word document which can be found on www.goldendrum.com. Accepted format is .PDF using Times New Roman font size 12. Do not include any tabels or pictures. If one entry is competing in more than one category a separate entry form and upload of materials must be supplied.
 
On-line:

Upload your entry through our on-line registration system or send it to entries@goldendrum.com; subject: PR entry - “entry title”, “company name”
If selected as finalists you will be required to upload a 3 min long video presenting your registered campaign through a special FTP upload account. Golden Drum Festival Office will inform you on how to submit the video.

On-line FTP upload if selected as finalists:

GROUP W: ADVERTISING CAMPAIGNS

You can submit integrated campaigns consisting of series of advertisement messages which appear in different media across a specific time frame.
All elements of an advertising campaign (including explanation of marketing and communication strategy, creative strategy, media plan, print and audio-visual ads, online activities, etc.) constitute one entry.
All entrants must agree that if selected as finalists they will give a personal, 10 minutes presentation at the Festival and send a video presentation (up to 1 minute long) representing the basic creative idea of the entry through a special FTP upload account. Golden Drum Festival Office will inform you on how to submit the video.

Advertising campaigns can be submitted as audio-visual presentation (up to 10 minutes in length) OR as Microsoft Power Point presentation. Please see instructions below.

Do not include TV ads with different encoding than MPEG-1. Please send all material at the same time! Recommendation: When submitting examples it is to your own advantage to show only your most significant work. Submit what you feel would best represent your work to the judges.


ADDITIONAL OPTION – High Definition



Films and/or videos in competition can also be submitted in HD (High Definition). It is obligatory to submit each entry also as a standard video format if submitting in HD format. Entries should be encoded with advanced video codec (AVC / H.264), audio format PCM and packed in .mov format. Overall bit rate recommendation is 10 megabits per second.


Video must conform to the following HD standards:
FORMAT:1080p
VERTICAL LINES: 1080
SCAN TYPE: Progressive
FRAME RATE: 25
Certain Broadcast destinations may require the 16 x 9 High Definition video content to be ‘Center Cut/Title Safe’ for down conversion to 4 x 3 Standard Definition air. (These versions should be trafficked as separate ISCI’s from the 16 x 9 Full Frame Versions.)
Audio Format:
Audio shall be LPCM (SMPTE 302M) with a sample rate of 48kHz, locked to video. Bit depth shall be 16, 20, or 24 bits. All audio channels must be discrete without the use of Dolby Pro-Logic or Dolby E encoding. Audio channel assignments must use one of the following two formats:
